Administrative Assistant

Job Description

We are currently seeking a detail-oriented and organized Administrative Assistant to support our home care agency. As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of administrative tasks, enabling our team to provide exceptional care to our clients. This position is ideal for individuals who thrive in a fast-paced environment, have excellent communication skills, and are passionate about supporting others.


Responsibilities

  1. Provide administrative support to the management team, including scheduling appointments, managing calendars, and coordinating meetings.
  2. Answer phone calls and respond to inquiries from clients, caregivers, and other stakeholders in a professional and courteous manner.
  3. Assist with the recruitment and onboarding process for caregivers, including conducting initial screenings, scheduling interviews, and processing new hire paperwork.
  4. Maintain accurate and up-to-date client and caregiver records in the agency's database system.
  5. Coordinate client schedules and caregiver assignments, ensuring proper coverage for all shifts and addressing any scheduling conflicts or changes.
  6. Assist with billing and invoicing tasks, including verifying insurance information, processing payments, and resolving billing discrepancies.
  7. Prepare and distribute internal and external communications, including memos, newsletters, and marketing materials.
  8. Assist with quality assurance and compliance activities, including documentation audits and regulatory reporting requirements.
  9. Coordinate with other departments within the agency to ensure seamless communication and collaboration.
  10. Perform other administrative tasks and projects as assigned by management.


Qualifications

  1. High school diploma or equivalent required; associate's or bachelor's degree in business administration or related field preferred.
  2. Proven experience in an administrative support role, preferably in a healthcare or home care setting.
  3. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with database management systems.
  4. Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
  5. Excellent communication skills, both written and verbal, with the ability to interact professionally with clients, caregivers, and team members.
  6. Attention to detail and accuracy in data entry and record-keeping.
  7. Ability to maintain confidentiality and handle sensitive information with discretion.
  8. Flexible and adaptable to changing priorities and needs within a dynamic work environment.
